Tax audit in an advertising agency – what to prepare in 4 hours

A call from the office at 9:15 am can spoil anyone's coffee. You have exactly 4 hours to organize your documents before an official knocks on your door on Floriańska street. The first hour is the time to pull from the system all the invoices for tools you use every day. Tax officials in Krakow are increasingly looking at the validity of cloud expenses. The second hour should be devoted to binders with civil law contracts. In creative agencies, this is the weakest link. If you work with 12 freelancers, you must have signed protocols of work acceptance. The transfer itself is not enough. The office wants to see proof that the logo project or 47 social media posts were actually delivered. At Krakow Advisory Market, we've seen situations where the lack of one signature on a protocol from July 2023 resulted in the exclusion of the expense from costs, which cost the agency an additional 2,400 PLN in tax along with interest.

Pay attention to dates. A backdated contract is the most common mistake that a skilled auditor will catch in 3 minutes. Check if the dates on receipts match the dates of transfers. If you have a contract with a copywriter for 18 blog articles, have links or printouts of these texts at hand. This is the moment when the result counts, not the process – the official doesn't want to hear about how creative the process is, they want to see the final product you paid for. It's also worth checking if the 50% tax-deductible costs were applied correctly. This is a common flashpoint. If your employees use this privilege, you must have a record of works. Preparing such records in 4 hours is difficult, but possible if you have a task list in a system such as Jira or Asana. Export the report for the last 3 months and attach it to the contract folder. Avoid putting alcohol in costs unless you run an event agency and it was part of a tasting for a client. Otherwise, it's asking for trouble. It's better to lose 200 PLN in deduction than to give the official a reason to dig deeper into other invoices. A strategy of small steps often allows you to emerge from an audit unscathed in less than 8 working days.

The last hour is pure logistics. Prepare a separate table for the auditor. Let them not sit in the middle of the open space where the project team is arguing about the colors of a new campaign. Don't bring the whole year 'just in case', as this generates unnecessary side questions.
